Last updated: 17 May 2026. This Refund Policy explains how payments, cancellations, credits, non-refundable charges, payment disputes, chargebacks, and credit notes are handled.

This Policy is issued by Suhub Raqamya Software Design and applies to products, services, subscriptions, deliverables, support, setup, configuration, integration, customization, and other work supplied or billed by Suhub Raqamya Software Design.

1. Introduction

This Refund Policy applies to business customers, companies, organizations, professional entities, and any other customer receiving, approving, paying for, accessing, using, or requesting products or services supplied or to be supplied by Suhub Raqamya Software Design.

The Policy is published on the Active Call Manager website for transparency and forms part of the payment and service terms applicable to invoices, proforma invoices, payment links, accepted quotations, payment requests, renewals, subscriptions, services, support, technical work, and other transactions issued or supplied by Suhub Raqamya Software Design.

Business policy: Paid amounts are treated as non-refundable once an invoice, proforma invoice, payment link, accepted quotation, payment request, or other written payment communication has been issued and paid, partially paid, approved, or acted upon by the Customer, unless a specific written exception is approved by Suhub Raqamya Software Design or required by applicable law.

2. Legal Entity and Scope

This Refund Policy is issued by Suhub Raqamya Software Design, the legal entity operating the Call Manager and Active Call Manager service and website.

References to Suhub Raqamya Software Design, Call Manager, Active Call Manager, activecallmanager.com, we, us, or our refer to Suhub Raqamya Software Design and, where applicable, the Call Manager service operated by it.

This Policy applies to any invoice, proforma invoice, tax invoice, renewal invoice, accepted quotation, payment request, payment link, or other written payment communication issued by Suhub Raqamya Software Design.

This includes, without limitation, services provided under or in connection with https://activecallmanager.com/terms-of-service/, and any other product or service supplied by Suhub Raqamya Software Design.

3. Products and Services Covered

This Refund Policy applies to all products, services, subscriptions, software services, platforms, support, setup, activation, reactivation, configuration, integration, customization, consultancy, professional services, deliverables, technical work, and any other service or product provided, arranged, supplied, quoted, invoiced, or delivered by Suhub Raqamya Software Design.

The Policy applies whether the relevant transaction relates to Call Manager services or any other product, service, deliverable, professional service, customization, integration, support work, or technical work supplied by Suhub Raqamya Software Design.

5. General No-Refund Rule

As a general rule, all amounts paid to Suhub Raqamya Software Design are non-refundable once an invoice, proforma invoice, tax invoice, renewal invoice, accepted quotation, payment request, payment link, or other written payment communication has been issued by Suhub Raqamya Software Design and paid, partially paid, approved, or acted upon by the Customer.

This applies regardless of the product, service, subscription, project, deliverable, support work, setup, activation, configuration, integration, customization, professional service, software service, technical service, or other work supplied or to be supplied by Suhub Raqamya Software Design.

This rule applies regardless of the reason for cancellation, non-use, change of mind, internal delay, business decision, budget change, staff change, failure to provide required information, failure to use all features, dissatisfaction with internal business results, or any similar reason.

6. Services Connected to Call Manager Terms

Where the relevant product or service is provided under or in connection with https://activecallmanager.com/terms-of-service/, the Customer also agrees to the Call Manager Terms of Service, the applicable invoice, proforma invoice, payment request, this Refund Policy, and any linked or published policies that apply to the service.

For clarity, this Refund Policy is broader than the Call Manager Terms of Service. It applies to Call Manager services and to any other product or service supplied by Suhub Raqamya Software Design.

7. Subscription and Service Periods

Use of any product or service for any part of a contract period, subscription period, billing period, monthly period, quarterly period, annual period, renewal period, or other agreed service period entitles Suhub Raqamya Software Design to charge for the full applicable period.

The Customer is not entitled to any refund, credit, extension, compensation, waiver, reduction, or adjustment because the Customer stopped using the product or service, did not use all available features, delayed its own onboarding, failed to provide required access or information, reduced users or usage, changed business plans, or requested cancellation after payment or service availability.

8. Non-Refundable Charges

The following charges are non-refundable once paid, incurred, committed, allocated, prepared, scheduled, started, delivered, provisioned, made available, or otherwise acted upon by Suhub Raqamya Software Design:

  • setup, onboarding, activation, and reactivation fees;
  • configuration, implementation, integration, customization, development, and technical service fees;
  • professional service, consultancy, support, project, and deliverable fees;
  • subscription fees, renewal fees, prepaid service fees, and recurring charges;
  • third-party provider costs, pass-through costs, platform costs, API costs, telecom costs, number costs, cloud costs, AI costs, CRM costs, payment fees, bank fees, and similar costs;
  • any other charge stated as non-refundable in an invoice, proforma invoice, quotation, payment request, payment link, written communication, Terms of Service, or published policy.

9. Customer Cancellation, Delay or Non-Use

Customer cancellation, non-use, delayed use, internal approval delay, delayed onboarding, delayed CRM access, delayed technical access, delayed training, staff unavailability, management decision, budget issue, change of business plan, or failure to use any feature does not create a right to a refund, credit, cancellation, extension, compensation, waiver, reduction, or adjustment.

The Customer remains responsible for all amounts paid or payable under the applicable invoice, proforma invoice, payment link, accepted quotation, payment request, subscription, contract period, or written payment communication.

10. Third-Party Costs

Any third-party cost, provider charge, pass-through fee, vendor fee, telecom charge, number charge, cloud charge, storage charge, API charge, CRM charge, AI charge, hosting charge, payment processing charge, bank charge, gateway charge, regulatory charge, or other external cost is non-refundable once paid, incurred, committed, reserved, provisioned, allocated, or required for the relevant product, service, transaction, setup, integration, support, or deliverable.

Suhub Raqamya Software Design is not responsible for refunding amounts that have been paid to, charged by, withheld by, or required by third-party providers, banks, payment processors, platforms, telecom providers, cloud providers, AI providers, CRM providers, or other vendors.

11. Payment Disputes and Chargebacks

A chargeback means any bank, card-provider, payment-provider, payment-channel, payment-link, or financial institution request, dispute, reversal, claim, hold, deduction, or attempt to reverse or challenge a payment already made to Suhub Raqamya Software Design.

If the Customer initiates or threatens a chargeback, payment reversal, payment dispute, bank dispute, payment-provider claim, or similar action after approving, paying, partially paying, accessing, requesting, renewing, reactivating, continuing, or using any product or service, Suhub Raqamya Software Design may suspend, restrict, disconnect, terminate, refuse renewal, refuse reactivation, withhold deliverables, pause support, or refuse further service, without creating any refund, credit, extension, compensation, waiver, damages, or other claim by the Customer.

The Customer remains responsible for any unpaid amount, recovery cost, bank fee, payment processing fee, legal cost, collection cost, arbitration cost, provider cost, or administrative cost arising from a chargeback, payment reversal, or payment dispute, to the maximum extent permitted by applicable law.

12. Approved Credits and Credit Notes

Submitting a refund request does not create any right to a refund, credit, cancellation, extension, compensation, waiver, reduction, adjustment, repayment, reversal, or refund-like remedy. Any exception must be expressly approved in writing by Suhub Raqamya Software Design or required by applicable law.

If any refund, compensation, adjustment, repayment, reversal, refund-like remedy, or similar financial remedy is approved by Suhub Raqamya Software Design, or becomes required by applicable law, the Customer agrees that such amount will be issued only as a credit note, to the maximum extent permitted by applicable law.

The Customer agrees that any such credit note is the Customer’s sole and exclusive settlement method and may be used exclusively toward future purchases, renewals, transactions, subscriptions, services, products, deliverables, support, setup, configuration, integration, customization, professional services, or other amounts payable to Suhub Raqamya Software Design.

Credit notes are not redeemable for cash, bank transfer, card refund, payment reversal, payment-provider refund, third-party payout, or any other monetary payment method. By approving, paying, partially paying, requesting activation, requesting renewal, requesting reactivation, continuing, accessing, or using any product or service supplied or to be supplied by Suhub Raqamya Software Design, the Customer expressly accepts and consents to this credit-note-only settlement mechanism.

No cash-refund route: The Customer waives, to the maximum extent permitted by applicable law, any right to demand or receive any approved or required refund, compensation, adjustment, repayment, reversal, or refund-like remedy by cash, bank transfer, card refund, payment reversal, payment-provider refund, or any monetary payout.

13. Refund Request Process

A Customer may contact billing@activecallmanager.com regarding a payment, invoice, proforma invoice, credit note, billing question, or refund-related question.

Any request must be sent from an authorized email address linked to the Customer, invoice, proforma invoice, account, or transaction, and should include the Customer’s legal or business name, invoice or proforma invoice number, payment date, reason for the request, and any supporting information requested by Suhub Raqamya Software Design.

Submitting a request does not suspend payment obligations, does not stop a subscription, does not extend a service period, does not reverse a payment, and does not create any refund or credit right unless Suhub Raqamya Software Design expressly confirms otherwise in writing.

14. Invoice-Specific Terms

If a specific invoice, proforma invoice, accepted quotation, payment request, payment link, signed document, or written agreement expressly states a different refund, credit, cancellation, service-period, or payment rule for a specific transaction, that specific written rule applies only to that transaction.

Unless a specific written rule expressly overrides this Refund Policy, this published Refund Policy applies by default to refunds, credits, cancellations, non-refundable charges, payment disputes, chargebacks, credit notes, and refund-like remedies.

15. Changes, Notices and Contact

Suhub Raqamya Software Design may update this Refund Policy from time to time by publishing the updated version at https://activecallmanager.com/refund-policy/. Continued approval, payment, partial payment, requested activation, requested renewal, requested reactivation, access, continuation, or use of any product or service after publication or notice of the updated Policy confirms acceptance of the updated Policy.
